Keyoti Index Fails to Complete

Please be advised that access to servers as described below should be done carefully. Please do not hesitate to contact the Triaster Support Desk if help is required.

The Triaster Quick Search is populated by Keyoti, an indexing tool that automatically generates an index after a publish and can also be run on command from the Administration area.

Keyoti creates a Lock file which is inserted onto the server here:

\Triaster\TriasterServer2011\KeyotiSearch\IndexDirectory

This ensures the location(s) Keyoti is indexing remain stable and accessible to the tool. Therefore the Lock file is essential to the completion of an index.

On occasion you may find that there has either been a fail of the Keyoti index where library users cannot search for a new process map or document that has been added to the file store or where there has been a report that a lock file is present in the KeyotiSearch folder.

When this is the case we always recommend contacting Triaster Support in the first instance.

If you are confident with the Triaster Server structure and understand how Keyoti operates please follow the below steps to troubleshoot Keyoti indexing issues:

  1. Log on to the Triaster server.
  2. Open Task Manager and check if Keyoti is running and active based on CPU usage. The KeyotiReindex.exe is what you should be looking for.
    1. If KeyotiReindex.exe is running and CPU usage is fluctuating for the task this suggests that an index is still taking place so no action required at this time.
    2. If KeyotiReindex.exe is either present and no CPU usage change or not present at all continue to point 3.
  3. Open file explorer and navigate to ‘\Triaster\TriasterServer2011\KeyotiSearch’. Open the file IndexLog.txt and check the last three lines of the log. If they are the below three lines (with different time stamps) then please go to the Administration page of the library and download the Search files which can be done from the left hand menu underneath ‘System Maintenance’ > Search Files and send these to Triaster Support.

    2019-05-07 18:39:34: Reindex operation completed.

    If the IndexLogt.txt finishes in any other way please head to \Triaster\TriasterServer2011\KeyotiSearch\IndexDirectory and delete the Lock file if present.
  4. Monitor the Task Manager for change to KeyotiReindex.exe. This may take a few minutes to either re-commence or appear in the list of processes.
  5. If this does not appear please manually start a reindex. This can be done in the Administration area of the Library/Site you would like to reindex. Once logged in, go to ‘Publish Maps’ in the left hand menu then to ‘Refresh Search’ where you can start an index by clicking the ‘Refresh’ button.

Following the above steps monitoring of Keyoti activity on the server through Task Manager and the IndexLog.txt should be continued. If there are still issues please contact Triaster Support who will be able to assist.
